The Notion quote template in short
The template is a Notion page with a database of quotes. You fill in the database, and Notion PDF Export prints one quote per row as one PDF, each on its own sheet, with the date it is valid until and a line for the client to sign. Duplicating and editing the template is free, and so is the preview of the first five quotes. Printing them is part of Pro.
The template
What is in the Notion quote template
Everything on one Notion page: your list of quotes on top, the quote below, written once with blanks such as {Valid until} that every row fills in, plus a note on how to accept and a line to sign.

| Column | Placeholder | Example |
|---|---|---|
| Number | {Number} | Q-1041 |
| Client | {Client} | Blue Harbor Logistics |
| City | {City} | Leeds |
| Issued | {Issued} | 2 September 2026, typed as text |
| Valid until | {Valid until} | 2 October 2026, typed as text |
| Workshop | {Workshop} | £720, the first line item |
| Prototype | {Prototype} | £2,160, the second line item |
| Total | {Total} | £2,880, typed in |
Issued and Valid until are text columns on purpose: date columns do not print their value yet.
Guide
How to print quotes from Notion
Duplicate it into your workspace
Open the Notion quote template and click Duplicate at the top right, or get it from its listing in the Notion Marketplace. The copy is yours, on any Notion plan.
Make it your quote
Replace the sample quotes with your own, the items in the table with your services, and the address at the bottom with yours. Delete the "How to use this template" callout, or it prints on every quote.
Another item is a new text column, such as Training, and a new row in the items table with {Training}.
Print every quote at once
With the extension installed, click PDF next to Share and choose "Notion document generator". The preview shows the first five quotes filled in, states how many the run will print, and names any placeholder that matches no column.
To print only this week's quotes, tick their rows in the database before you click PDF.
Click Print and choose "Save as PDF": one PDF with every quote on its own sheet. The Notion mail merge guide explains the placeholder rules in detail.

Estimates
Rename the heading from Quote to Estimate. The validity date and the line to sign stay, or delete them for a rough estimate.
From quote to invoice
The Notion invoice template has the same columns apart from Valid until. Copy an accepted quote's row into its database and print the invoice.
Your logo
Header text, footer text and sheet numbers are free. Your logo in the header or footer of every quote is part of Pro.
FAQ
Notion quote template: common questions
Is the Notion quote template free?
Yes. Duplicating and editing it is free, and so is previewing the first five filled-in quotes. Printing the filled-in quotes with the extension is part of Pro, at $6.99 a month or $59 a year.
Can I use it for estimates?
Yes. Rename the heading from Quote to Estimate in the page. The database, the validity date and the line to sign stay as they are.
How do I turn an accepted quote into an invoice?
The Notion invoice template has the same columns apart from Valid until. Copy the accepted row into its Invoices database, give it an invoice number, and print the invoice the same way.
Can I print only some quotes?
Yes. Tick their rows in the database, then click PDF. The document generator, part of Pro, prints only the ticked rows. With nothing ticked, every row is printed.
Is my client data uploaded?
No. The extension reads the page in your open Notion tab and builds the quotes in your browser. It never changes your pages.
